Key Features of the e-Apartments Application: Log In Section The portal is designed for registered residents of a residential complex. The login functionality is covered in this section. A new user can register in this section. A registered user can login, change password and retrieve forgotten password. Log In A registered user logs in using the userid and password already provided. The userid and password are chosen by the user when she registers in the portal. On successful login, the login details are registered in the log file for traffic analysis. New User Registration A new user to the portal registers her details in this section. The new user chooses the title and ownership status (own apartment, tenant) and enters her name, apartment number, occupation, organization, landline number, mobile number, extension number of the intercom facility and email address. She enters the desired userid and password and reconfirms the password chosen. A validation is performed and when validated successfully, the data is stored in the members data table. An email is sent to the user and the administrator of the portal automatically. The administrator verifies the entered information. A separate administrator module is provided to perform administrator tasks. Once the user is authenticated, the administrator grants access to the user. When this is done, an automatic email is sent to the user with her userid and password and the user will be granted access to the portal. Change Password This functionality enables the user to periodically change her password for security purposes. Forgot Password If a user forgets her password, she can retrieve the password by invoking this feature. The user enters her userid and the password is automatically sent to her email account. Landing Page A registered resident, on successful authentication will land in this page. If the user is a Governing Body member, certain extra features will be displayed on the screen which only the GB members can access. The menu on the top would now have many more options than the default page shown when the portal is accessed. Accounts The summary of the Accounts status of the Association is displayed here for an resident to view. Minutes of Meeting The minutes of various meetings held in the complex which need to be shared with the residents of the complex is activated here. Resident Poll Gathering residents’ opinion on important matters is a critical activity before implementing policies that affect the resident life. If the management decides not to let in vendors after 7pm, it is important to understand what the resident feel about that decision. The Resident Poll section lets you do this. The resident opinion on various important matters is gathered and analysed in this section. The administrator section allows you to enter a question and three possible answers. You also define the end date for the poll. Once the question and the possible answers are defined, an email is automatically sent to all registered residents letting them know that a poll has been newly introduced and they should express their opinion latest by the end date. When a resident chooses the Poll option, she is shown all the open questions with the poll result as of date. The number of people who have chosen answer A, B and C are shown. The resident clicks the View button against a Poll she wants to view. The question and the possible answers are displayed. A Pie chart is simultaneously displayed which graphically paints the story of the selected Poll. A Vote button will allow the logged in resident to register her vote for the selected question. She chooses one of the answers by clicking the respective radio button and clicks on Vote. Once the voting is done for the question, the Vote button will not appear. Instead she will see a message ‘You have already voted on Intercom Numbers The list of all intercom numbers of residents and other locations in the complex is shown here. Services in the Complex A list of vendors providing services in the complex is shown here. Relevant information shown are the type of service provided, the name of the vendor, vendor’s address, contact person name, contact number, credit period provided and remarks. Resident Account A resident will be able to view the status of her account using this option. A resident receives bills from the management (utilities, maintenance, penalties etc) and makes payment against these bills. This functionality lets a resident view all the bills raised against her name, all the payments made by her and the balance payable or receivable by her. For each transaction, the date, the type of transaction, invoice or cheque number, the description of the transaction, credit amount, debit amount and the balance is displayed. A resident, thus, will have a track of all the charges and payments made at the touch of a button. Code of Conduct A complex is managed by the Association and the rules related to living and conducting oneself in the complex is governed by the Code of Conduct. The Code usually contains many chapters. The electronic form of the Code is contained in this section. This is divided chapter wise and each chapter appears when the chapter section is clicked. Parking Rules A modern complex, these days, has underground and surface parking. Each resident owns one or more car parking and this space belongs to the resident. Each resident is expected to park her vehicle only in her allotted space. In most complex, random parking at surface level is prohibited and would attract penalties. The electronic form of the Parking Rules is displayed when this option is chosen. Governing Body Updates The progress made by the Governing Body, on various tasks, is made available here for the residents to know how certain key initiatives in the complex are moving forward. Club Charges Usage of certain facilities in the complex Club is usually on a chargeable basis. For instance, the multi-purpose hall can be hired by a resident for certain duration to have a birthday party. The charges would vary depending on the day of the week of hire, duration etc. These charges are clearly put up in this section for the resident to plan usage of the chargeable areas of the Club. Governing Body Circulars Various official circulars are published by the Governing Body related to matters of conduct in the complex, common facilities introduced, changes in rules and regulations, amendments to Security Code etc. These circulars are uploaded in this section. The circular number, date and the subject are displayed. When a resident clicks on a certain circular, the circular opens up for viewing. Question Answers This is similar to the Frequenty Asked Question functionality. In this section, important questions raised by the resident and the Governing Body’s answers to these questions are collated and displayed. A summary containing the questions are displayed and when a question is clicked, the question and the detailed answer are displayed. Photo Gallery This section is divided into various categories. Examples are Diwali, Holi, New Year party etc. When a certain category is clicked, all the photographs stored in that category is displayed for the resident to view. Facilities The various facilities available in the complex for the residents’ use is described in this section. Sub sections detail further information about a chosen section. This section contains information on Club, Gymanisium, Swimming Pool, Squash, Table Tennis, Sauna etc. Layout The layout of the entire complex is stored here. The layout of individual distinctive apartments (2 bed room, three bedroom, penthouses, villas) are stored too. The resident can view these layouts by choosing the required category. Interaction The interaction module lets residents express opinions and counter opinion, state problem, record incidences in the complex that are important for others to know, advertise things to sell or buy, request for various facilities from co-residents and also request for enhancements of the Resident Portal. Discussion Forum Discussion Items are put up by registered residents. Co-residents can reply to these discussion items and express their opinion as a response. The name, date and the topic of the discussion item is displayed. Alongside, the actual discussion item is displayed. This is followed by the number of responses received, a View Button and a Response Button. The user will also find a Close button against Discussion items recorded by her. This will allow her to ‘close’ the discussion whenever she desires. A hyperlink is provided on the ‘Name’ column and when this hyperlink clicked a new window will open up which will contain all the information about the user who recorded the discussion item including the name, apartment number, telephone number and email address. On top of the screen are button titled ‘This month’, ‘This quarter’, ‘This year’, ‘All’ and ‘Closed Items’. Clicking any of these buttons will result in only for the selected period. The user will also find ‘Add a new Discussion Item’ on the top of the screen which will allow her to add new discussion items. The user has to enter a Discussion Topic and then the actual discussion item description. When the Save button is pressed, the discussion item is saved and will be visible to all logged in user. An email will be sent to all the registered users and the administrator of the portal informing them that a new discussion item has been posted in the resident portal. When the View Button is clicked, a new window will open up which will display the name of the user, the discussion topic, the discussion time and all the responses to the discussion item along with the name of the user who has responded. When the Respond Button is clicked, a new window will open up which will display the name of the user, the discussion topic, the discussion time and all the responses to the discussion item along with the name of the user who has responded. The user can enter her response in the response text box that is displayed and then save the response. Problem Reporting This will have the same features as is defined in the Discussion Forum. In this section, the user can report the problems that she faces in the complex. Incident Reporting This will have the same features as is defined in the Discussion Forum. In this section, the user record incidences that she observed or experienced which she thinks the other residents should know. Buy/Sell This will have the same features as is defined in the Discussion Forum. In this section, the user can advertise the products/services she wants to sell or buy. The description of the product/services is entered. Request Help This will have the same features as is defined in the Discussion Forum. In this section, the user can ask for any help (tutors, maids, drivers) that she requires and which she thinks can be offered by coresidents. Web Enhancements This will have the same features as is defined in the Discussion Forum. In this section, the user can request for additional functionalities required in the resident portal. Download Section All the documents which are the shared with the residents of the complex is stored in this section under different heads. When a particular item is clicked, the document is opened in a new window for the resident to view. She can, additionally, save the document or print it. Restricted Access The following features will only be visible when a Governing Body member is logged in. Owner Database This option lists the owner database data. This includes tower number, apartment number, owner name, joint owner name, telephone number and area of the apartment. When the displayed hyperlink is clicked, a new window opens up and displays many other additional information about the user. List of Apartments This option lists the various apartments, tower-wise, with owner/resident information. Pending Payments from Residents The invoices raised against each resident is stored in the system with all relevant data. Similarly, the payments received from residents against invoices are stored in the system. The system thus has the latest status of the pending payment position of every resident. This option displays the payment status of each apartment, tower-wise. Governing Body Discussion Forum This will have the same features as is defined in the Discussion Forum. This is only open for GB members’ discussions. Administrator’s Module Granting Access to newly registered residents When a resident registers afresh, the resident and the administrator will receive an email about the registration. The administrator will get an approval from the Governing Body to grant access to the resident. When this option is chosen, a list of newly registered residents will be displayed on the screen. The Grant Button is clicked. The user record is updated with access right flag changed to Y. An email is generated automatically and sent to the resident information her about the grant of access. The userid and password is sent to the user. Emails to residents The administrator can send a mass mail to all the registered users by just composing the message and clicking on Send button. Uploading Invoices All the invoices generated for charges (Electricity, Maintenance etc) are entered in the Excel file (this is done to generate the documents). This excel file is uploaded in on go using this functionality. The individual resident account is updated. Uploading Cheque/Cash Details All the payments received against invoices generated are entered in the Excel file. This excel file is uploaded in on go using this functionality. The individual resident account is updated. Backup This option lets the administrator backup critical data. When this option is invoked a list of tables is displayed. When a table is chosen, the backup of that data table is generated and an email is sent to the administrator with the backup for storage.
